What an AMC is — and why buildings that have one pass inspections

An Annual Maintenance Contract puts your entire fire protection setup on a fixed service calendar with one accountable vendor. Instead of remembering that extinguishers expire, batteries die, pumps seize and valves stick, you get scheduled visits where everything is tested, serviced and documented — and a signed report each time proving it happened.

The documentation is half the value. NOC renewals, fire department inspections, factory audits, school affiliation checks and insurance surveys all ask the same question: can you prove these systems are maintained? An AMC file with dated service reports answers it instantly. Buildings without one end up reconstructing history the week before an inspection, which convinces nobody.

What a proper AMC covers, system by system

Scope varies with what your building has installed, but a complete fire safety AMC addresses every life-safety system on the premises — not just the extinguishers. This is the checklist to compare any quote against:

  • Extinguishers: physical condition, pressure, seals, weights (CO₂), refill/HPT scheduling, tag updates, location and signage check
  • Fire alarm system: panel health, every detector zone tested on rotation, manual call points, hooters, battery backup under load
  • Hydrant system: line pressure test, every valve operated, hose and branch condition, hose reel drum function
  • Pump room: main pump auto-start on pressure drop, jockey pump cut-in/cut-out, diesel pump battery and fuel, gland and coupling condition
  • Sprinklers where installed: valve status, gauge readings, obstruction check below heads
  • Emergency lighting & exit signage: function test, battery condition
  • Site report after every visit: findings, actions taken, items recommended — floor-wise, signed

Visit frequency and response — what to expect

Typical structures are quarterly visits for standard premises and monthly for higher-risk or larger sites (hospitals, high-rises, mills, big factories). The visit schedule should be fixed at signing, not left as "we will come". Between visits, a real AMC includes breakdown response — a dead panel or a tripping pump cannot wait for next quarter, so ask what the promised response time is and whether emergency call-outs are included or billed.

Also fix in writing how consumables and refills are handled: are extinguisher refills included in the AMC price or billed at contracted rates when due? Are minor spares (gauges, seals, batteries) included? Neither model is wrong, but ambiguity here is where cheap AMCs quietly become expensive ones.

How to judge an AMC quote — and the false economy of the cheapest one

Compare quotes on scope, not just price: which systems are covered, how many visits, what response time, what documentation, what happens on breakdowns, and who actually comes (trained technicians or a boy with a register). The cheapest AMC in the market is usually a signature-visit service — someone comes, signs, leaves. The paper trail exists until the day a pump fails to start or an inspector opens the panel, and then the savings evaporate along with the NOC.
